How we work

The work behind
a well-run community.

Good service comes from clear processes and people who follow through. Here is how our team and purpose-built tools help handle the work your community depends on.

01 · Day-to-day operations & member support

A consistent flow. A human connection.

Every community has a dedicated support email that helps requests reach the right resources faster. General phone calls and emails first go to a unified triage process, so there is a consistent way into support.

Our team triages general inquiries the same day, within 24 hours. Many solutions can be provided during that first review; other requests need coordination and follow-through.

You can use your community website when it is convenient, or contact the team when you need help. You do not need to be a tech expert to work with us.

Two ways to reach support

Your community support email

Helps your request reach the right community resources faster.

General calls and emails

Triage the same day, within 24 hours. Many questions can be answered during triage.

Help for your community

An answer during triage, or a connection to the right resource for the next step.

Support requests are attended in the order received. Accounting has a separate channel.

Everyday coordination

Vendor visits, recurring tasks and community priorities need a place in the work plan.

A record people can use

Shared records and tracked tasks help the team carry the context into the next conversation.

An easier front door

Hello websites and electronic forms help owners, vendors and closing professionals find their next step.

02 · Violations

From an observation to a clear next step.

An inspection should create a useful record. Our field tools bring observations, photographs, history and status together so the team can review what was found in the context of your community’s requirements.

The work continues after the inspection: review the concern, communicate the appropriate next step and follow up on its status. A shared history helps the team handle recurring questions with context.

The tools organize the evidence and the workflow. Our team reviews the situation and the association’s process before taking action.

The inspection-to-follow-up path
  1. Observe & document

Record what was observed, with photos and useful location details.

  2. Review & communicate

Review the community’s requirements and prepare the appropriate communication.

  3. Follow up & retain the history

Keep status and supporting records available for the next review.

03 · Collections

Clear balances. Consistent follow-through.

The association needs a clear picture of what is owed, what has been paid and what needs attention. Our receivables tools help organize balances and follow-up activity so the team can work from a shared record.

Payment questions and account discrepancies need the right review. Accounting follows its own channel, while collection activity follows the association’s approved process and applicable requirements.

When the next step calls for a collection partner or the association’s attorney, the record should support a clear handoff. Status, supporting information and communication history help keep that transition organized.

From account review to the next step
  1. Understand the account

Review balances, payments and questions that need accounting attention.

  2. Follow the agreed process

Keep follow-up communication and account status organized.

  3. Coordinate the next step

Prepare the supporting record when a partner or counsel needs to take over.

04 · Meetings

A meeting with a plan. A record you can use.

Our specialized meeting tools guide agendas, motions, votes and minutes in one flow. They help the team prepare for the meeting, organize decisions as they happen and retain the record afterward.

The goal is practical support for carrying out your association’s meeting requirements: less repetitive preparation, clearer decisions and a more organized path from the meeting to the work that follows.

Before, during and after the meeting
  1. Prepare the agenda

Bring the topics and supporting information together before the meeting.

  2. Capture motions & votes

Keep the decision-making record connected to the agenda.

  3. Organize minutes & follow-up

Retain the meeting record and identify the actions that follow.

05 · Budgeting

Budgets built around your community.

Budget Designer gives our team a practical way to build the budget your association needs, whether preparing an annual plan, working through a revision or comparing different scenarios.

Real historical expenses, contracts and known changes provide the starting point. Our team helps turn those details into a useful proposal, so the board can focus on priorities, choices and the reasons behind the numbers.

Budget Designer · from inputs to a proposal
  1. Start with your community

Historical expenses, contracts, service needs and known changes.

  2. Design & compare

Build a draft, explore scenarios and work through the changes.

  3. Review with the board

Turn the detail into a proposal the board can review and adopt.

06 · Your staffing model

The right capacity for the work.

Most Zeal communities share a manager with other communities. We call this portfolio management. Our support team handles everyday calls and emails, while the manager handles the more tailored work support cannot resolve. Our tools reduce repetitive calculations and preparation, giving the manager more time for community needs.

The type of extra work matters. When the increased workload requires a full-time licensed CAM, dedicated management is the next model to consider. When it is operational work that an assistant can handle, we can blend portfolio or dedicated management with part-time or full-time assistance.

Columns show assistant coverage. The highlighted combination matches your recommendation below.

Manager capacity A portfolio CAM handles tailored management work across several communities. Dedicated management fits a sustained full-time need for licensed CAM work.

Support capacity Shared support handles routine calls and emails. An assistant adds administrative help and on-site coverage; the CAM keeps responsibility for licensed management work.

A clearer start

A transition with a plan.

Bringing a community to Zeal means organizing records, banking information, contacts and priorities. Our launch process tracks what is ready, what is missing and what needs attention, so the next step is visible.
